IT Systems Administrator (m/f/d)

Berlin
Part-time
Temporary

The role

Berlin · 8-15 hours/week · Start: January 2027

The Schwarzkopf Foundation Young Europe empowers young people to actively shape democracy and develop European perspectives. So our team can focus fully on this work, we need a reliable and well-maintained IT infrastructure.

We’re looking for an IT Systems Administrator (part time, 8 to 15 hours/week) to make that happen. You’ll be the person who knows how our IT works behind the scenes. An HR colleague and an intern handle day-to-day questions and equipment. You step in when things get tricky, and you make sure our systems are set up well from the start. You report to the Head of Finance and Administration.

What you'll do:
  • Look after our Microsoft 365 workplace: email, file sharing, user accounts and secure sign-in
  • Keep our laptops secure and up to date, from setting up new devices to retiring old ones
  • Take care of the office network, Wi-Fi, remote access and printers
  • Look after our file storage and a few in-house web tools, keep them up to date, and make sure backups run
  • Be the person colleagues turn to when a problem needs more expertise and support our HR colleague and intern with routine IT requests
  • Write clear documentation so others can follow how things work

Your profile

  • Hands-on experience running Microsoft 365, including user accounts, email and access rights
  • Experience managing Windows laptops for a team, ideally with Microsoft Intune
  • You can track down the cause of everyday IT problems on your own
  • A good sense of IT security and data protection: who should have access to what, and how to keep data safely backed up
  • You're an all-rounder who likes learning new tools well enough to explain them to others
  • You write things down clearly, set good priorities, and enjoy helping colleagues who don't have a technical background
  • You like working in a small team with a broad range of tasks
  • Fluent English; knowledge of German is a plus
Nice to have:
  • Experience with virtual machines or network storage (e.g. Synology)
  • Running self-hosted tools such as an internal wiki, an equipment inventory or remote support software
  • Experience in a non-profit, education or other budget-conscious organisation

What we offer

  • Meaningful work in a driven team in the heart of Berlin, with people who are excited about what they do
  • Room to bring your ideas and help shape how IT works here
  • 32 days of paid holiday based on a 5-day week, plus additional holidays on December 24th and 31st
  • Remote work by agreement, with at least 1 to 2 days on-site
  • Regular team events
  • A contract for 12 months with the intention to extend if collaboration works well.
We know that no one meets every requirement 100%. If you see yourself in most of the points and are motivated to grow into new areas, we look forward to your application.

We value diversity and therefore welcome all applications, regardless of gender, nationality, origin, religious affiliation, disability, age, sexual orientation and identity.

Our offices and access routes are currently not fully barrier-free. We’re happy to talk with you about what we can do to reduce any remaining barriers.

We accept applications (including a cover letter, a CV without a photo, and any other relevant documents) as long as the position is visible on our job portal. Just click “Apply for this position” below.

If you have any questions, feel free to reach out to our HR team at applications@schwarzkopf-stiftung.de.

About us

Schwarzkopf Foundation Young Europe was founded in 1971 by Pauline Schwarzkopf. The Schwarzkopf Foundation, a non-partisan organisation, strives to empower young people from all backgrounds to be active European citizens who contribute to a pluralistic, democratic society of mutual understanding, solidarity and peaceful collaboration across Europe. With our work to empower young people, we seek to promote a pan-European understanding and combat right-wing extremism, anti-Semitism and racism.

Young people contribute to European cohesion and play a crucial role in shaping pluralistic societies. That is why we create spaces for young people to develop political awareness and visions for the society they want to live in. We offer young people opportunities to meet, exchange knowledge, grow and actively participate.

With a wide range of programmes and projects, we advocate for an open, solidarity-based and democratic Europe, and we aim to strengthen young and pluralistic voices – in Europe and beyond.
