The role

For our Administration team, covering HR, Finance, IT and Office Management, we are looking to fill the position of Personal & Office Manager (all genders), either part-time or full-time (65-100%). In this role, you will take on a central interface function and, together with your colleagues, ensure that administrative processes run smoothly and that good working conditions are in place for our staff.


Your responsibilities in Human Resources
  • HR administration (e.g. drafting employment contracts, references and certificates)
  • Preparation and follow-up of payroll processes
  • Application and maintenance of our HR software (Personio) and, where applicable, the introduction of new modules in cooperation with the Commercial Director
  • Planning and implementation of recruiting as well as on- and offboarding processes
  • Preparatory budget planning, budget management and controlling of a partial budget in coordination with the Commercial Director
  • Advising employees on HR-related matters
  • Contributing to personnel development processes
  • Preparing HR-related analyses and reports
Your responsibilities in Office Management
  • Office organisation, including procurement and logistics of work materials
  • Supporting the maintenance of office spaces, workstations and meeting/event rooms
  • Communication and coordination with external service providers, subtenants and the property management
  • Supporting the implementation and compliance with occupational health and safety measures
  • Handling incoming and outgoing mail, parcels and deliveries

Your profile

  • Experience in HR administration, ideally within a non-profit organisation or a comparable environment
  • Knowledge of payroll processes and labour law
  • Experience with HR-related software (e.g. Personio, DATEV) or the ability to quickly familiarise yourself with digital systems
  • Experience in office management or a strong interest in actively shaping this area
  • Very good German and good English skills (English is the Foundation’s working language)
  • Sensitivity to different working realities and a service-oriented mindset

  • Compensation is based on our internal salary scheme and depends on individual professional experience. The expected gross monthly salary for this position in full-time (38 hours per week) ranges between €3,319.25 and €3,692.14.
